Request for Service (RFSs) and Request for Travel (RTAs)
All observers are required to file a Request for Services (RFS) at least three weeks prior to their observing run. UT Austin observers should do this as part of the Request for Travel Authorization (RTA). Both web forms, for UT Austin and Non-UT Austin observers, can be accessed under resources - Official Travel. It is very important that this form be submitted at least three weeks prior to your observing run.
All observers, from whatever institution, are responsible for their own travel to McDonald Observatory and for their living expenses on the mountain. Accommodations are provided at the "Astronomer's Lodge" (AL), a small hotel and dining facility, on the mountain and within walking distance to the telescopes. For current rates, visit this page. No personal meal preparation is allowed at the Lodge.
UT personnel traveling on State funds need to be reminded that the travel reimbursement rules are more stringent for State funds than for grant funds, thus rules should be checked before traveling.
Personnel driving from Austin are strongly encouraged to arrive at the mountain on the mountain at least 12 hours prior to the start of their observing time. They are also required to get sufficient sleep before driving back to Austin. Getting adequate sleep is necessary to prevent either telescope/instrumental or vehicular accidents.
